Greenville Utilities Commission is seeking quotations for the furnishing of grip/retainer rings for C-900/DI pipe in five sizes: 4-inch, 6-inch, 8-inch, 10-inch, and 12-inch. All rings must be Romac brand with specified outer diameters (OD 4.80, 6.90, 9.05, 11.10, and 13.20 respectively). The successful bidder is required to maintain safety stock for each size: 8 rings for 4-inch and 10-inch sizes, 25 rings for 6-inch size, and 10 rings for 8-inch and 12-inch sizes. Estimated quantities for purchase are 15 units of 4-inch rings, 60 units of 6-inch rings, 20 units of 8-inch rings, 10 units of 10-inch rings, and 10 units of 12-inch rings. All items must be purchased in box quantities. Bidders must specify brand names, expected delivery times, and clearly note any exceptions or substitutions with full details of approved equivalents.
The contract will be awarded as a single comprehensive award for all five items together to the lowest responsible, responsive bidder. The pricing will be evaluated based on quality, performance, and price. All items must comply strictly with specifications unless exceptions are clearly noted. Sales tax should be added separately to invoices as North Carolina sales tax applies. Federal Excise Tax exemption certificates will be provided upon request. The successful bidder will enter into a multi-year contract for a total period not to exceed three years, with prices fixed during the first year and options for annual extensions at the same or negotiated unit prices for up to two additional years, contingent on market and service conditions.
Quotation forms must be completed with unit prices and extensions calculated by the bidder. Prompt payment discounts may be considered in the award decision. Bidders are required to submit proposals on the official Request for Quotation form only. All quotations must be signed by an authorized official of the firm. Submission must include the brand name of items quoted and delivery time estimates. The contract will be governed by Greenville Utilities Commission's standard Terms and Conditions, which include provisions for insurance coverage, payment terms, delivery requirements, and compliance with North Carolina state laws.
