Silicon Valley Clean Energy (SVCE) is seeking proposals for event planning services to support their community engagement efforts. The scope includes planning and executing both local community celebrations (4-14 events annually) and SVCE business meetings (6-10 events annually). Planning services should include research and booking of venues/locations, catering, event materials (tables, chairs, flatware, linens, AV systems, podiums, stages, etc.), coordination with stakeholders, planning and managing event run-of-show, creation of event signage, budgeting, and work plan development. Community celebrations include events like ribbon cuttings for completed grant projects, while business meetings are opportunities for SVCE to connect with key customers. SVCE aims to source event needs from local businesses and seeks to reduce waste by utilizing reusable, recyclable, and compostable materials at all events. Bidders should propose solutions for four illustrative event examples: (1) Contractor Focus Group for 20 guests, (2) Watts for Lunch informational luncheon for 40 guests, (3) Community Grant Ribbon Cutting for 80 guests, and (4) Dream Home Block Party for 50-100 people.
