Greenville Utilities Commission (GUC) is seeking electronic proposals for one (1) multifunction copier/printer unit to be located at 509 SE Greenville Boulevard. The unit must be a compact floor model designed for lease or rental with specifications including scan-to-email functionality, print, copy capabilities for letter, legal, and envelope sizes, duplex printing, monochrome only (no color), minimum 2-tray configuration, and support for a minimum of 25,000 pages annually. The unit must include same-day or 24-hour service and have consumables supplied included with the service contract. Vendors must quote both 36-month and 60-month lease terms. Due to space limitations at the current location, the unit should be approximately 18.70 inches wide by 19.80 inches deep, matching the dimensions of the existing equipment.
Key dates include a question deadline of June 26, 2025 at 9:00 AM EDT and a proposal submission deadline of July 8, 2025 at 11:00 AM EDT. All questions should be directed to Cleve Haddock, Procurement Manager. Selected vendors may be requested to provide formal presentations and on-site unit demonstrations at a mutually agreed date and time. GUC reserves the right to select vendors from the proposals received, or alternatively, may choose to purchase, rent, or lease directly off the North Carolina State Contract if available.
Evaluation will be based on vendor competence, qualifications, and performance capabilities including quality of customer references, understanding of unit requirements, staff and service technician experience, response time for service and repairs, warranty coverage, operating costs, lease rates, cost per copy, overall cost, ease of operation, unit dependability track record, service intervals, and demonstration of the proposed unit. GUC is not obligated to accept the lowest cost proposal and will award to the responsible, responsive respondent whose evaluation indicates the award will be in GUC's best interest.
